What types of transactions can be recorded in the Cash Tracker?
The Cash Tracker in Stayflexi is a centralized tool that allows properties to log, monitor, and reconcile all cash transactions in real-time.
It helps ensure transparency, accountability, and accuracy in managing the property’s cash flow.
Types of Transactions in Cash Tracker:
- Cash Top-Ups – Manual cash additions to the register :
- These are cash amounts manually added to the cash register to ensure enough funds are available for operational needs.
Example: The property manager adds ₹10,000 to the register at the start of the month for housekeeping purchases and petty cash needs.
Flow:
- Manager initiates a Cash Top-Up entry in Cash Tracker.
- Selects “Monthly Operational Cash” as the reason (predefined in Top-Up categories).
- Enters amount and date, then saves.
- Cash balance increases immediately by ₹10,000 in the tracker.
2. Cash Collections – Automatically logged when guest dues are settled in cash
- This transaction type is system-generated whenever a guest payment is made in cash via their folio.
Example: A guest settles their bill of ₹5,000 in cash at checkout.
Flow:
- Front desk records payment in the Guest Folio.
- Selects Cash as payment mode.
- System automatically logs this transaction in the Cash Tracker as a Cash Collection.
- Available cash balance increases by ₹5,000 without manual entry.
3. Cash Withdrawals – Expenses, cash payouts, or owner withdrawals
- Cash removed from the register for operational expenses, staff payments, or withdrawals by the owner.
Example: The property needs ₹2,000 to pay a local plumber for urgent repairs.
Flow:
- Staff member logs in to Cash Tracker.
- Selects Cash Withdrawal and chooses the category “Maintenance & Repairs” (predefined in Withdrawal categories).
- Enters amount, date, and purpose.
- Cash balance decreases by ₹2,000 immediately.
