Difference between Summary, Detailed, and itemized folio versions

Stayflexi provides three distinct folio types – Summary, Detailed, and Itemized to enhance the management of guest accounts. Each folio type is designed to meet specific needs, allowing property staff to navigate billing with ease.

  1. Login to Stayflexi: Log into your Stayflexi dashboard using your credentials.
  2. Navigate to the Reservations Tab: From the front page of the Stayflexi dashboard, locate the top navigation menu. The second icon is the Reservation Calendar. Click on the icon to see all your reservations.
  3. Select the Reservation: Choose the reservation for which you want to see the folio by clicking on it
  4. View Reservation Details: A pop-up window will appear on the right side of the screen, showing the reservation details.
  5. Find the Folio Option: Scroll down to the section with multiple actions. Look for the option labeled View Folio and click on it.

Stayflexi offers three types of folios, each designed for different operational and guest communication needs. You can switch between these from the bottom of the Folio page.


Summary Folio

The Summary Folio shows a consolidated view of the guest’s total charges, without displaying individual transaction lines. It highlights only the key figures such as total room charges, additional charges, taxes, payments, and balance due.

This folio format is best suited for quick reviews and guest-facing billing.

Hoteliers typically use the Summary Folio in the following situations:

  • During check-out, when the guest wants to quickly know the final payable amount
  • While sharing or printing a simple bill for guests who do not need detailed charge breakdowns
  • At the front desk during peak hours, to save time and close billing faster
  • For corporate or short stays, where only the total amount matters

Detailed Folio

The Detailed Folio shows a clear breakdown of charges by category, such as room charges, add-ons, and taxes, without going into every individual transaction.

Hoteliers typically use the Detailed Folio in these situations:

  • When a guest asks for a clear explanation of charges but not line-by-line details
  • For corporate, long-stay, or GST-related bookings where charge clarity is required
  • While handling billing queries or disputes, to explain how the total amount is formed
  • For internal audits or management review of booking charges

The Detailed Folio balances clarity and simplicity by explaining charges without overwhelming detail.

Itemized Folio

The Itemized Folio displays a line-by-line record of every transaction posted to the booking, including dates, descriptions, taxes, and totals.

Hoteliers typically use the Itemized Folio in these situations:

  • When guests request a complete transaction-level bill
  • For accounting, reconciliation, or financial audits
  • To review or verify manual postings, adjustments, or add-on charges
  • While resolving detailed billing disputes or discrepancies

The Itemized Folio offers maximum transparency and is best suited for detailed financial review.
